Leading Women’s University Powers Learning and Operations with Zoom


Introduction

The institution – a Rajasthan-based private university for women – was established in 1998 by Mr R.P Mody. It offers advanced research and higher education facilities with graduate and postgraduate courses in arts, science, commerce, engineering, management, law, fashion, interior design, architecture, physiotherapy, and agriculture.

The university has also partnered with several colleges in the US, Europe, and Asia Pacific to help its students collaborate with their global peers for a wider education scope.

A recipient of several awards, including the Best Women’s University in Asia Pacific for 2020, the institution aims to build transformative skills in women and support them to become inspiring leaders, technocrats, and social innovators.

When the pandemic and resultant lockdowns disrupted the education sector, the university had to transition to a reliable online learning system. It needed a resilient platform for its virtual classroom infrastructure and to provide workfrom-home facilities to the staff.

After comparing video meeting software from different companies, the university narrowed its option to Zoom. The administrative team contacted us for a package on discovering that it was also available as an SLA-backed solution with Tata Tele Business Services (TTBS) in India.

Business Challenges

The sudden spread of COVID-19 and the announcement of stay-at-home orders took everyone by surprise. For a university that offers a wide range of courses, deploying a digital platform for all students to attend their classes virtually was tricky. The administrative team sought an application that was easy-to-access on any device and could build engaging learning experiences.

The university experimented with various free video conferencing systems to continue its academic services and streamline work processes for staff – both teaching and non-teaching. However, this was not an effective long-term solution and needed a standard software that everyone could use conveniently.

The administration executives also experienced poor audio-video resolution and multiple challenges with random conferencing applications :

  • While they could accommodate students and faculty in small batches, organising webinars involving a higher number of participants and global attendees was not feasible.
  • The applications did not allow the users to record lectures and webinars. This limitation compelled teachers to often conduct the same class more than once to cover multiple batches.
  • There were no tools to track employee productivity. The absence of sufficient cloud storage also hampered the sharing of work files through a common repository accessible by all.

The university could not conduct training sessions for its teachers due to the limited functionalities of free video meeting apps. The added issues with security and scalability prompted the team to look for more dependable and feature-rich software for their operations.

TTBS Solution

TTBS offered the university Zoom’s unified communication platform that helps streamline teaching, learning, and working in academic environments. We configured the service with Zoom Video Webinars to help the customer accommodate large groups in a single session.

Users could access their accounts on any device via internet browsers or the mobile application. Robust API extensions enabled lecturers to integrate Zoom with various learning management systems to build intuitive classroom environments.

The deployment was quick, and users at all levels could use Zoom effectively on their devices. This TTBS-backed online collaboration application addressed the challenges that the university was facing:

  • The students, teachers, and other staff members now had HD videoaudio experience in their meetings, and they could include up to 1000 participants in any webinar with 49 live videos on screen.
  • Thanks to the ease of recording sessions in MP4 and MA4 formats, the professors did not need to schedule the same class again – they could save clippings of any lecture locally or in the cloud for future reference.
  • The staff working from remote locations could fulfil their administrative duties – involving admissions, counselling, fee record updates, examination schedules, and HR functions – more effectively. They could even share screens for collaborative tasks.

Features such as background noise cancellation, virtual backgrounds, seamless performance optimisation, and custom layouts made Zoom more appealing to all users.

Happy with the benefits offered by the application, the university decided to use Zoom even after the resumption of in-person classes. By optimising online and hybrid learning and work environments, it became an integral part of their digital transformation journey.
